Who we are

This website is run by Pilates With Sophie("we", "us"). We are the data controller for the personal information described in this policy.

What we collect, and why

When you book a class through this website, we collect:

Your name, email address, and phone number — needed to hold your booking, get in touch if a class changes, and send you a confirmation.
Anything you choose to add in the optional notes field (for example, an injury or that it's your first class) — this is entirely optional and only used to help us run your class safely.

Our lawful basis for name, email, and phone number is performance of a contract— we can't confirm a booking without them. Where you tell us about a health condition or injury, our lawful basis is your explicit consent, given by choosing to share it.

Payment is handled entirely by Stripe — we never see or store your card details. We receive confirmation that payment succeeded, plus a payment reference, which we keep against your booking for accounting purposes.

Your IP address is used briefly and automatically to prevent spam bookings. It is not stored in our database and is not linked to your identity.

Who we share it with

We only share your information with the services that help us run this website and take bookings:

Stripe — processes your payment. See Stripe's privacy policy.
Resend — sends your booking confirmation, reminder, and cancellation emails.
Supabase — securely hosts our booking database.

We never sell your information, and we don't share it for marketing purposes.

How long we keep it

We keep booking and payment records for as long as needed to run the studio and to meet our legal accounting and tax obligations (typically up to 6 years). If you'd like your information deleted sooner, get in touch and we'll action this manually unless we're required to keep it for legal reasons.

Your rights

Under UK GDPR, you have the right to:

Ask what personal data we hold about you, and get a copy of it
Ask us to correct anything inaccurate
Ask us to delete your data, or restrict how we use it
Withdraw consent at any time for anything you've shared with us on that basis (e.g. health notes)
Complain to the Information Commissioner's Office (ICO) if you think we've handled your data incorrectly
